Key Responsibilities:

Administrative Support:

  1. Manage executive schedules, including scheduling meetings, appointments, and travel arrangements.
  2. Prepare and organize documents, reports, presentations, and correspondence.
  3. Handle phone calls, emails, and other communications on behalf of executives.

Meeting Coordination:

  1. Organize and coordinate meetings, conferences, and events, including logistics and agendas.
  2. Record and distribute meeting minutes, ensuring action items are followed up.
  3. Act as a liaison between executives and attendees to ensure smooth communication.

Information Management:

  1. Maintain confidentiality of sensitive information and manage access to executive files.
  2. Research and compile data for reports, presentations, and strategic decision-making.
  3. Ensure accurate and up-to-date records of business activities and projects.

Stakeholder Management:

  1. Act as a key point of contact for internal and external stakeholders.
  2. Build and maintain strong professional relationships on behalf of the executive.
  3. Represent the executive professionally in correspondence and interactions.

Project and Task Management:

  1. Oversee and manage special projects assigned by executives.
  2. Track deadlines and ensure timely completion of tasks and initiatives.
  3. Anticipate the needs of the executive and proactively address them.

Office Operations:

  1. Supervise and mentor junior administrative staff or executive assistants.
  2. Ensure office procedures and policies are adhered to and updated as necessary.
  3. Collaborate with other departments to streamline operations and improve efficiency.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 5 years of experience as an executive assistant or in a similar role.
  • Proficiency in Microsoft Office Suite, project management tools, and scheduling software.
