Job Summary:

We are seeking a friendly and professional Receptionist to join our team. In this role, you will be the first point of contact for clients, visitors, and callers, ensuring a welcoming, efficient, and safe experience. Your duties will include greeting guests, managing appointments, handling phone calls, and maintaining a clean and organized reception area. A strong focus on customer service, organization, and communication will be essential to the success of this role.


Key Responsibilities:

  • Greet and Welcome Visitors: Ensure all visitors feel welcomed with a friendly and professional demeanor. Provide them with any necessary information and guide them to their appointments or destinations.
  • Answer Questions & Provide Information: Assist visitors and callers by answering inquiries and providing accurate information about the company, services, or general directions.
  • Manage Appointments & Schedules: Coordinate and manage appointments, meetings, and schedules. Ensure the reception area is informed of any changes or updates to appointments.
  • Handle Phone Calls & Correspondence: Answer, screen, and direct phone calls in a professional manner. Manage incoming mail, emails, and other forms of correspondence, ensuring timely responses and delivery.
  • Provide Assistance & Resolve Issues: Assist visitors and staff with any requests or concerns. Address and resolve any issues or complaints efficiently and courteously.
  • Maintain Reception Area: Keep the reception area clean, organized, and stocked with necessary materials. Ensure the area is always tidy and presentable for visitors.
  • Ensure Safety & Security: Monitor visitor access and maintain security protocols. Ensure all visitors sign in and out, and adhere to safety procedures as necessary.


Qualifications:

  • Proven experience as a receptionist or in a customer service role preferred.
  • Excellent communication skills, both verbal and written.
  • Strong organizational and multitasking abilities.
  • Professional and friendly demeanor with a customer-first attitude.
  • Ability to handle confidential information with discretion.
  • Basic knowledge of office equipment and phone systems.
  • Proficiency in Microsoft Office Suite or similar software.
  • Ability to work independently and as part of a team.
