We are looking for an experienced office manager to join our team!

At Better we are building the most advanced digital health platform on the market that is, together with our solutions, already supporting over 30 million patients across more than 20 markets. 

Therefore, we need an office captain, a dedicated person to take care of our office and our people. We need a new office manager who is energetic, always in action, but also organised, pragmatic, and above all a people person. If you are this person, we will be more than happy to have you on our team. 

What will be your typical to-do list?

Office maintenance and office operations:

  • Coordinating maintenance staff activities. 
  • Reception of company guests, and formal correspondence with the guests, customers, and partners. 
  • Taking care of the post and incoming phone calls. 
  • Management of all activities related to the office building, such as regular office maintenance schedule, parking space coordination, cooperation with building owners and warden, monitoring energy consumption, and taking care of invoices, etc. 
  • Purchasing office inventory and equipment, and taking care of its delivery and distribution. 
  • Regular cooperation with our service providers, suppliers, and partners. 

Management support: 

  • Supporting our management teams with travel arrangements, logistics, agenda setting, and similar administrative areas. 
  • Taking care of company cars.  
  • Preparing reports.  

HR and accounting related activities: 

  • Partnering with HR to maintain office policies, occupational and fire safety. 
  • Help with internal communication in coordination with the marketing team. 
  • Help organise and oversee wellbeing activities 
  • Participating actively in the planning and execution of company events, such as monthly all-hands meetings, workshops, conferences, team buildings, parties, etc.  
  • Cooperating in the on-boarding process of new hires: welcome package preparation, work equipment orders, entrance cards preparation, etc.  
  • Telecommunication management. 
  • Partnering with Legal department in maintaining ISO standards. 
  • Managing a team of three colleagues. 

Skills and expertise you need to excel at this job.

  • Experience as an office manager, event planner, or similar role. 
  • Excellent written and verbal communication skills in English and Slovenian.  
  • Great at multitasking and comfortable with administration, negotiation, and purchasing. 
  • Top-notch organisation and coordination skills. 
  • Computer skills and ability to adopt new technology quickly. 
  • Flexibility and ability to work with different people at ease. 
  • Detailed, proactive, extremely organised, yet pragmatic.
