JOB DESCRIPTIONS



Key Responsibilities:

Administrative Support

  • Assist in managing daily office operations, ensuring a smooth and efficient work environment.
  • Handle incoming communications (e.g., emails, phone calls, and visitor inquiries) and direct them to the appropriate department or individual.
  • Organize and maintain files, records, and databases, ensuring they are accurate and up-to-date.
  • Support the preparation and organization of documents, presentations, and reports.
  • Provide assistance with scheduling and coordinating meetings, conferences, and events.

Data Entry & Documentation

  • Enter and maintain data in internal systems and databases, ensuring accuracy and completeness.
  • Assist in generating reports, maintaining logs, and tracking various administrative metrics.
  • Help prepare and proofread internal and external communications, ensuring consistency and professionalism.

Office Management

  • Order and maintain office supplies, ensuring the office environment is fully stocked and organized.
  • Manage office equipment, ensuring regular maintenance and resolving issues when necessary.
  • Assist with maintaining office spaces and facilities, coordinating cleaning and maintenance services as required.
  • Coordinate travel and accommodation arrangements for staff or visitors as necessary.

Customer Service & Support

  • Provide front-line support to clients, visitors, and staff members, ensuring a positive experience.
  • Assist with handling general inquiries, offering assistance to both internal and external customers.
  • Support the administration of internal policies and procedures, ensuring compliance and understanding across teams.

Team Collaboration

  • Work closely with other administrative staff and departments to ensure seamless coordination and communication.
  • Contribute to team projects and provide additional support as required.
  • Participate in training and development opportunities to enhance skills and career growth.


Education and Experience

  • A minimum of a high school diploma or equivalent; tertiary education is a plus.
  • At least 1-2 years of experience in an administrative or office support role, ideally in a corporate environment.
  • Experience with office software (e.g., Microsoft Office Suite – Word, Excel, PowerPoint) and general office equipment.

Skills and Competencies

  • Strong organizational skills, with the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy, especially in data entry and documentation.
  • Ability to work independently and as part of a team.
  • Customer-oriented with strong interpersonal skills.
  • Ability to adapt to new challenges and take on additional responsibilities as needed.
  • Basic understanding of office procedures and administrative functions.
