Key Responsibilities:

Reception Management:

  1. Greet and welcome visitors, ensuring they feel valued and attended to.
  2. Answer and direct phone calls to appropriate personnel or departments.
  3. Manage the sign-in and sign-out process for visitors and employees.

Customer Service:

  1. Handle inquiries, complaints, and requests from visitors and clients promptly and professionally.
  2. Provide accurate information about the organization’s services, policies, or procedures.
  3. Ensure excellent customer service standards are maintained.

Administrative Support:

  1. Schedule appointments, meetings, and maintain an organized front desk calendar.
  2. Manage and distribute mail, packages, and correspondence.
  3. Maintain a tidy and organized reception area.

Communication and Coordination:

  1. Coordinate with other departments to ensure smooth visitor and client experiences.
  2. Relay messages and information to appropriate personnel in a timely manner.
  3. Assist in arranging travel and accommodations for staff or visitors, if necessary.

Security and Safety:

  1. Monitor access to the premises and ensure all visitors follow security protocols.
  2. Report any suspicious activity or safety concerns to the relevant authorities.

Technology and Record Management:

  1. Operate office equipment, including phones, computers, and printers.
  2. Maintain records of visitor logs, appointments, and inquiries.
  3. Update and manage databases or filing systems as required.

Qualifications:

  • High school diploma or equivalent (Bachelor’s degree is a plus).
  • Proven experience in a receptionist, front desk, or customer service role.
  • Proficiency in Microsoft Office Suite and office management software.
