About the role
The ideal candidate will provide administrative support to the multi-business owner and pastor - who also oversees a private company, involved in and oversees an end-time apostolic church in Ghana. This role requires strong administrative skills, discretion, and the ability to manage multiple tasks efficiently. The personal assistant will manage both church and business activities to ensure efficient operations, effective time management, and organization.
Key Responsibilities
Administrative Support
- Manage calendar, schedule appointments, and organize travel arrangements for both ministry and business purposes.
- Coordinate and manage communications, including emails, phone calls, and correspondence.
- Prepare and edit documents, reports, and presentations for church and business activities.
- Maintain confidential files and records, ensuring they are organized and up to date.
- Act as the first point of contact for inquiries, screening and directing them appropriately.
Church Activities
- Assist with the planning and coordination of weekly podcast shows, online meetings, Bible studies, evangelism outreaches, Sunday services and other special services.
- Oversee logistical arrangements for church events, including venue bookings, equipment setup, and coordination with volunteers.
- Coordinate with respective teams to manage and update church social media platforms, promoting events and activities effectively.
Business Activities
- Support the Pastor in managing business projects, including procurement, project management, and construction activities.
- Coordinate meetings and follow-up on action items, ensuring timely completion of tasks.
- Conduct research and provide insights on business opportunities, market trends, and industry developments.
- Maintain a comprehensive database of business contacts, contracts, and project documentation.
- Provide executive support in the activities.
Travel Coordination
- Organize travel itineraries, including flight bookings, hotel reservations, and transportation arrangements.
- Ensure all travel arrangements adhere to preferences and requirements.
- Prepare travel documents, including visas, permits, and itineraries.
- Coordinate with travel agencies and service providers to ensure smooth and efficient travel experiences.
Personal Assistance
- Assist with personal tasks including scheduling appointments and running errands.
- Ensure the Pastor's personal preferences are considered and accommodated in all arrangements.
- Provide support during the Pastor's frequent travels, ensuring all needs are met efficiently.
Qualifications and Skills
Education and Experience
- Bachelor's degree in business administration, Management, or a related field preferred.
- Proven experience as a personal assistant or executive assistant, preferably in a similar role.
- Experience in both church and business environments are highly desirable.
- A born-again believer.
Key Skills - Required
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.
- Ability to work independently and handle multiple tasks simultaneously.
- Discretion and confidentiality in handling sensitive information.
- Strong interpersonal skills, with the ability to interact professionally with diverse groups of people.
- Flexibility to adapt to changing priorities and work under pressure.
Additional Information
- Occasional evening and weekend work to support church and business activities.
- Creative design skills and social media management skills would be prioritized.
- Willingness to travel frequently, both domestically and internationally.
- A valid driver's license and access to reliable transportation are essential.
- Familiarity with the apostolic ministry’s mission, values, and activities is a plus and willingness to join our ministry would also be prioritized.
- Proximity to East Legon, Accra will be prioritized.
