JOB DESCRIPTIONS


Key Responsibilities:

  • Manage Calendars & Schedules: Efficiently organize and maintain executives' calendars, scheduling appointments, meetings, and events to optimize time management.
  • Coordinate Travel Arrangements: Arrange travel itineraries, including booking flights, accommodations, and transportation. Ensure all travel plans are seamless and meet the executives' needs.
  • Prepare Correspondence & Reports: Draft, proofread, and distribute correspondence, reports, presentations, and other documentation as required. Ensure all materials are clear, concise, and aligned with company standards.
  • Maintain Filing Systems: Develop and maintain both physical and digital filing systems to ensure documents and information are well-organized and easily accessible.
  • Customer Service & Support: Provide exceptional customer service by responding to inquiries, resolving issues, and ensuring that clients and stakeholders have a positive experience with the company.
  • Liaise with Clients, Vendors, and Stakeholders: Act as a liaison between executives, clients, vendors, and other stakeholders, ensuring clear communication and facilitating effective business relationships.
  • Sales-Related Tasks: Assist with sales activities such as lead generation, follow-up communications, and data entry into CRM systems. Support the sales team in tracking leads and nurturing client relationships.
  • Confidentiality: Handle sensitive information with the utmost discretion and professionalism. Ensure that all confidential matters are managed securely and appropriately.


Qualifications:

  • Strong Organizational Skills: Excellent time management and organizational abilities with a proven track record of managing multiple tasks and priorities effectively.
  • Customer Service Excellence: Strong communication skills and the ability to interact professionally with clients, vendors, and colleagues.
  • Proficiency in Microsoft Office: Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative tools.
  • Sales Support Experience: Experience with lead generation, CRM tools, and supporting sales teams is a plus.
  • Discretion & Confidentiality: Ability to handle confidential information with a high level of professionalism and trust.
  • Attention to Detail: Exceptional attention to detail, ensuring accuracy in all tasks, from scheduling to preparing reports.
  • Communication Skills: Strong written and verbal communication skills with the ability to prepare clear and professional correspondence and reports.
  • Education: Bachelor's degree or relevant work experience in business administration, management, or a related field.

Preferred Skills:

  • Experience with CRM software (e.g., Salesforce, HubSpot).
  • Knowledge of travel coordination and expense reporting tools.
  • Previous experience in an executive support or administrative role.
