Key Responsibilities:

  1. Project Planning and Coordination:
    • Assist in developing project plans, timelines, and budgets.
    • Coordinate tasks and schedules across team members and departments.
    • Ensure project documentation, such as contracts, permits, and reports, is complete and up to date.
  2. Monitoring and Reporting:
    • Track project progress and ensure milestones are met on time.
    • Identify potential issues or delays and escalate them to the Project Manager.
    • Prepare and present progress reports to stakeholders and management.
  3. Resource Management:
    • Assist in allocating resources, such as personnel, equipment, and materials, effectively.
    • Monitor resource usage and recommend adjustments to optimize efficiency.
    • Coordinate procurement and delivery of materials and supplies as required.
  4. Communication and Collaboration:
    • Serve as a liaison between the Project Manager, team members, and external stakeholders.
    • Facilitate team meetings, record minutes, and follow up on action items.
    • Ensure clear communication and understanding of project goals and tasks.
  5. Risk Management:
    • Identify potential risks and assist in developing mitigation strategies.
    • Monitor risk factors throughout the project lifecycle and suggest proactive solutions.
  6. Quality Assurance:
    • Ensure all project deliverables meet quality standards and specifications.
    • Conduct inspections or reviews as needed to verify compliance with project goals.
  7. Documentation and Record Keeping:
    • Maintain accurate records of project activities, budgets, and correspondence.
    • Support the Project Manager in preparing final project reports and documentation for handover.

Qualifications and Skills:

  • Education and Certification:
    • Bachelor’s degree in Project Management, Business Administration, Engineering, or a related field.
    • Certification in project management (e.g., CAPM, PMP) is an advantage.
  • Experience:
    • Previous experience in project coordination or a related role is preferred.
    • Familiarity with project management methodologies (e.g., Agile, Waterfall).
  • Skills:
    • Strong organizational and multitasking abilities.
    • Proficiency in project management tools (e.g., Microsoft Project, Trello, Asana).
    • Excellent communication and interpersonal skills.
    • Problem-solving and analytical thinking capabilities.
    • Budgeting and financial management knowledge.
