Project Brief

 The SKBoWa (Cross-Border Cooperation in Burkina Faso, Mali, Côte d'Ivoire, and Ghana) project and the REACH (Resilience Against Climate Change) project aim to strengthen the resilience of rural populations in north-western Ghana as well as local structures against the impacts of climate change, economic, and social crises. The promotion of participatory planning processes, increasingly oriented towards cross-border collaboration, contributes to improving social cohesion in the region. For successful planning and implementation, close collaboration with a variety of stakeholders is necessary. This includes governmental structures, traditional authorities, village communities, economic enterprises, as well as actors in the security sector. SKBoWa and REACH are implemented as EU co-financed projects of the BMZ at the Wa location in north-western Ghana, in conjunction with other projects 

 Scope of Role: 

As an Administrative Specialist you are responsible for ensuring that relevant information is exchanged between staff, partners and other institutions as well as prepare and organise internal meetings according to GIZ standards. You also to serve as support system to the senior finance manager. 

Tasks

 ▪ Ensures that relevant information is exchanged between staff, partners and other institutions 

▪ Accompanies the manager to meetings where necessary 

▪ Prepares and organises internal meetings 

▪ Monitors the availability of accessories and stocks, carrying out the necessary procurement in accordance with GIZ guidelines 

▪ Manages confidential files, specifically in the areas of finance and administration

 ▪ Administer and maintain the project filing system according to GIZ procedure and adherence to confidentiality 

▪ Responsible for organizing administrative and logistical activities (meetings, workshops etc.). 

▪ Provides logistics support (keeping an inventory ledger, maintenance, and repair of office equipment) 

Profile

 • BSc, Master’s in Business Administration, Public Administration, Project Management or similar area 

• At least 5 years of relevant work experience with a focus on administration or in a comparable position. 

• Membership of CIAMC will be an added advantage Excellent knowledge of procurement procedures 

• Strong command of English language (both written and oral) is required; knowledge of German language is an asset 

• Good working knowledge of modern telecommunication systems, (related software, phone, fax, email, the internet) and computer applications most especially excel • Mandatory working knowledge in IT-based accounting programs 

• Must have a good working knowledge in formal events planning with good management skills 

• Proactive attitude towards personal growth and institutional changes 

• Rendering result orientated performance; willingness to take up responsibility 

• Must be ready & willing to relocate to Upper West -Wa
