Key Responsibilities:

  1. Administrative Support:
    • Manage daily office operations, including scheduling and coordinating meetings.
    • Prepare and edit documents, reports, and presentations.
    • Handle incoming and outgoing correspondence, including emails, calls, and letters.
  2. Record Management:
    • Maintain and organize files, records, and databases.
    • Ensure the confidentiality and security of sensitive information.
    • Update and retrieve documents as required.
  3. Calendar and Scheduling:
    • Coordinate appointments, meetings, and events for staff or executives.
    • Ensure timely reminders for important deadlines and tasks.
    • Manage travel arrangements, including booking accommodations and transportation.
  4. Communication and Liaison:
    • Act as a point of contact between internal teams and external stakeholders.
    • Respond to inquiries professionally and provide accurate information.
    • Relay messages and instructions in a clear and timely manner.
  5. Office Coordination:
    • Monitor office supplies and place orders as needed.
    • Ensure office equipment is maintained and functional.
    • Support in organizing events, workshops, or team activities.
  6. Project Support:
    • Assist in planning and executing administrative projects.
    • Track progress and provide updates to management.
    • Support team members with ad-hoc tasks as needed.

Qualifications and Skills:

  1. Education:
    • High school diploma or equivalent (required).
    • Diploma or certification in Office Administration, Business Management, or a related field (preferred).
  2. Experience:
    • Prior experience in an administrative or clerical role is an advantage.
  3. Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Familiarity with office equipment and administrative tools.
    • Basic knowledge of record-keeping and database management.

    • Excellent organizational and time-management skills.
