JOB DESCRIPTIONS
Key Responsibilities:
- Invoice Management:
- Review, verify, and process invoices in accordance with company policies.
- Match invoices with purchase orders and receiving reports.
- Ensure proper coding of invoices to the correct accounts and cost centers.
- Payment Processing:
- Prepare and execute payment runs (checks, ACH, wire transfers).
- Monitor and ensure timely payments to vendors while maintaining cash flow objectives.
- Vendor Relations:
- Act as the main point of contact for vendor inquiries and resolve payment discrepancies promptly.
- Maintain and update vendor information, including W-9 forms and banking details.
- Reconciliations and Reporting:
- Reconcile accounts payable ledger to ensure accuracy.
- Assist in month-end and year-end closing processes.
- Generate reports such as aging analysis and payment schedules.
- Auditing and Compliance:
- Assist in audits by providing requested documentation and explanations.
- Ensure compliance with internal policies, tax regulations, and accounting standards.
- Process Improvements:
- Identify opportunities to streamline accounts payable processes.
- Suggest and implement best practices to enhance efficiency and accuracy.
Qualifications
- Bachelor’s degree in Accounting, Finance, or a related field (preferred).
- 2–5 years of experience in accounts payable or a similar role.
- Proficiency in accounting software (e.g., QuickBooks, SAP, Oracle, or similar ERP systems).
- Strong attention to detail and accuracy.
- Excellent communication and problem-solving skills.
- Advanced Excel skills (e.g., pivot tables, VLOOKUP).
- Familiarity with GAAP and financial compliance regulations.
